Forwarding Your University E-mail

Every student, faculty, and staff member at The University of Iowa is provided an e-mail “alias”, which is usually some form of “firstname-lastname@uiowa.edu”. Students, faculty, and staff are also eligible for a Hawkmail e-mail account. What’s the difference? Your e-mail alias is just a “pointer” to your real e-mail account. That account could be Hawkmail, or it could be another e-mail account like Gmail, AOL, etc.

Beginning November 9, 2009, if you have a University Hawkmail account and choose to “point” or forward your University alias to another e-mail account, your Hawkmail account will automatically be closed, to prevent you from missing important emails and ensure that all email is forwarded to your non-Hawkmail account. Blackberry Phones Security Vulnerability

There is a security vulnerability in what appears to be all BlackBerry phones running 4.5 to 4.7.  More details can be found on their KB article.

RIM recommends that BlackBerry device users exercise caution when clicking on links that they receive in email or SMS messages. If a user visits a site that causes a BlackBerry Browser dialog box to warn the user about continuing the connection, the user should select Close connection.

Users should check with their service provider for an OS update or patch.

Office 2008/Entourage, Web Services Edition can’t access public folders

Currently  if you install Office 2008/Entourage, Web Services Edition, you will no longer be able to access public folders from Entourage.  However, there is a temporary workaround by going to: https://email.uiowa.edu/public/   ITS is coordinating with HCIS to resolve this.

[The public folders have been moved to Ex2007 so this problem has been RESOLVED]. 10/14/09

Spam Reduction Efforts

As many of you are aware, SPAM continues to be a problem on campus and with the Hawkmail service. ITS has been working on additional measures to reduce the amount of SPAM that is delivered to Hawkmail, and today, 8/13/09, we are planning to put additional protection in place. Specifically, ITS will be making the following changes:

  • At 10:00 AM, ITS will provide a similar level of protection for messages sent to @iowa.uiowa.edu addresses, similar to that which is currently provided for mail sent to @uiowa.edu addresses.  E-mail sent directly to @iowa.uiowa.edu addresses will be rejected if the SPAM probability is 80% or higher.  Individual preferences cannot be set for @iowa.uiowa.edu addresses. We believe a significant amount of the SPAM received by Hawkmail users is delivered to their @iowa.uiowa.edu address.
  • At 12:00 PM, ITS will remove the existing content filtering solution that has previously been in place on the Hawkmail servers. This change will fix the “Outlook Blocked Senders List” issue described in a Help Desk Known Issue – http://helpdesk.its.uiowa.edu/alerts/alert.asp?id=242.

SPAM Reduction Efforts

In our ongoing efforts to reduce SPAM on campus, on Tuesday, April 28, ITS will put in place additional SPAM protection for the Mailing List Service (LISTSERV).  Specifically, the SPAM protection that currently protects the University email alias (firstname-lastname@uiowa.edu) will be put in place to protect mail going to the Mailing List Service. 

All mailing lists will be protected at the same level and email with a spam probability of 90% or greater will be returned to the sender with a message indicating that the message was blocked.  ITS believes this will provide a good balance to reduce the amount of SPAM received through mailing lists while not creating many false positives. 

ITS will begin to implement this change on April 28, however, it may take up to 24 hours to take full effect.

Issue with Mac Exchange users

ITS has experienced an increase in calls from Mac Exchange users who report having problems with Hawkmail.  Eudora POP users who try and check mail receive a protocol error.   See http://help.asu.edu/Resolving_POP_Protocol_Errors_in_Eudora_for_Mac for a fix for this problem.

Issue with Duplicate Email/Calendar Items in Entourage

ITS has experienced an increase in calls from Entourage users who report having duplicate email and/or calendar items.  We opened a case with Microsoft and their recommendation is to have ALL Entourage users change the anti-virus configuration on ALL their Entourage client machines (office and home) to exclude the ‘Microsoft User Data’ folder from the auto scanning.  The steps for Symantec are listed below.  Make similar changes in other anti-virus software.

Note: you may need to ‘Click the lock in the lower left corner to make changes’ and authenticate.

Select SafeZones

Select ‘Everywhere EXCEPT in’:

Choose Documents | Microsoft User Data under your user name

Click Add

Close

Please note, that by excluding the ‘Microsoft User Data’ folder from your anti-virus scan, this does not leave you open to viruses, as ITS is still scanning on the server side before it reaches the users’ mailbox.  

IMAP and Password Issue

IMAP logon to accounts with passwords containing a special character (e.g., blank space, *, %) will fail.  This is a known bug and fix is to be released by the end of July. Workaround:  change your password to not include special characters.

Using Thunderbird IMAP to read Hawkmail Email

If you are using Thunderbird (IMAP) to read your Hawkmail e-mail, we recommend you run Version 2.0 or higher.  Problems with repeated password prompts when attempting to Get Mail have been reported by users with older versions of the Thunderbird client.  To see which version you are using, select Help | About Mozilla Thunderbird and verify that you are running Version 2.0 or higher.  This issue has been resolved by updating to Version 2.0.

Outlook Data Files (Personal Folders/.pst)

Please remember to back up your .pst files if you save them on your local hard drive (C:). If you are moving to a new machine be sure to save your .pst files.

The maximum possible size for a .pst file is 2 GB. However, ITS recommends a limit of 500 MB per .pst file to avoid mail corruption.    ITS recommends that you exit Outlook at the end of the work day. If you have .pst files stored on a network drive (e.g., H:), they will not be backed up if Outlook is running.
