NOTE:  The following are instructions specific to the University of Iowa campus (not including areas served by the UIHC telephone system).

SETTING UP YOUR NEW PHONE

MESSAGE WAITING LAMP

IMPORTANT:  If you use the campus voicemail system, the MESSAGE WAITING SWITCH must be set correctly for your phone to notify you of new messages. 

  1. Locate the switch on the bottom of the telephone.  See the manufacturer’s user guide for assistance in locating the switch. 
  2. Move the switch to the position marked 90V

Notes: 

  • The message waiting lamp will also function when set to 24V, but the flash and brightness will vary.  The 90V setting is recommended in most environments on campus. 
  • If the switch is in the OFF position, you will NOT see an indication on your phone when you have new voicemail messages.   

PROGRAMMING:

  1. Press the MENU button to review or program the features. 
  2. Continue to press the MENU button to scroll through the features. 
  3. If you wish to change the programming of a given feature, you may either press the circular arrow up/down button in the center of the phone to toggle between programming options, or (in some cases) use the keypad to enter the information. 
  4. To exit the MENU, either lift handset and replace, or scroll through the entire list.

OPTIONAL HOLD SELECTION TO ENABLE MUSIC ON HOLD

This phone includes two settings for the use of HOLD (NORMAL/PBX). 

  • The “NORMAL” default selection allows you to put a call on local hold [party on hold does not hear the campus music on hold].  When this is selected, your HOLD button will light, and your display will flash PHONE ON HOLD.  While on hold, the handset may be placed in the cradle.  To retrieve the call, press the HOLD button, OR if handset was placed in cradle, simply lift handset or press SPEAKER to retrieve. 
  • PBX hold [party on hold does hear the campus music on hold]. Hold button does not light up, and you must put handset aside while on hold.  To retrieve the call on hold, press the HOLD button again. 

To use this feature, the following must be programmed first:

  1. In the MENU, scroll to HOLD MODE.
  2. Select PBX as the hold type.  (press arrow button in center to toggle).
  3. Program the hold feature code (flash *1) into the HOLD button. 
  4. With handset in cradle, press SAVE.
  5. Press the HOLD button. 
  6. Display will show: “ENTER NUMBER”, press FLASH button, then * (star) then 1. 
  7. Then press SAVE again. 

CALL WAITING

This feature is not currently available on campus.  Any references to this feature should be disregarded.

5-7-10-11 feature

Allows you to change the display of a number in your call log to facilitate dialing.  If you have 9 stored as an access code (in the MENU setup), and 1 stored for the LDS code, these options will be available and will be inserted automatically from the appropriate selection.  NOTE:  not all campus extensions will display properly using this feature at this time so in these cases you must dial them manually. 

SPECIAL NOTE REGARDING CALLER ID
Caller ID information will not appear in your display until AFTER the phone has rung a complete ring. It is also possible that if you answer too quickly you will hear a brief “modem-like” tone as the Caller ID data is delivered. For both of these reasons, we recommend that you wait to see the call information in your display before answering the phone.

TRANSFER

To transfer a call: Press Flash. Broken dial tone indicates caller is placed on hold. Dial destination number, wait one second for call to connect, and then hang up.

(Optional): you may stay on the line to announce transfer of call. If party does not answer or line is busy, press FLASH again to return to holding party. (*see below)

*If voice mail answers the call, press 9, 9 and wait for voice mail to hang up. The caller will come back on the line.

CALL FORWARDING

To forward all calls (CFA - Call Forward All): (forwards calls immediately)

  1. Lift handset, hear dial tone.
  2. Press *7; hear broken dial tone.
  3. Dial number to which calls are to be forwarded; hear confirmation tone; hang up.

    NOTE: While in this state, your phone will ring 1/2 of a ring for each incoming call as a reminder, but you will not be able to answer it until the Call Forward All is cancelled at this phone.

To cancel "CFA"

  1. Lift handset; hear dial tone.
  2. Dial #7; hear confirmation tone; hang up.

To set Call Forward Busy/No Answer (CFBNA): (Calls are forwarded immediately if line is busy or after approximately four rings if not answered)

  1. Lift handset; hear dial tone.
  2. Dial *8; hear broken dial tone.
  3. Dial number to which calls are to be forwarded; hear confirmation tone; hang up.

To Cancel "CFBNA"

  1.  Lift handset; hear dial tone.
  2. Dial #8; hear confirmation tone; hang up.

NOTE: Calls may be forwarded to a campus, local, or long distance telephone number. If forwarded to a long distance number, long distance charges will be billed to your phone. With CFA activated, a telephone can receive calls only from the extension to which it is forwarded. Any combination of call forwarding may occur, up to five times to phones served by a single telephone switch service area). CFA and CFBNA may be activated at the same time. When both are set, CFA overrides until cancelled, then CFBNA takes effect.

REDIAL

To Redial number you last dialed: Lift handset or press Speaker, press Redial.

CONFERENCE CALLING 

To set up three-way conferencing:

  1. Establish first call (incoming or outgoing); ask party to hold (but do NOT press HOLD).
  2. Press FLASH, receive interrupted dial tone (caller is on hold).
  3. Dial third party. (If no answer or busy, press FLASH again to reconnect to held party).
  4. When answered, press FLASH again. Three-way conference is established. If one party hangs up, other two remain connected.

*If voice mail answers the call, press 9, 9 and wait for voice mail to hang up. The caller will come back on the line.

CALL PICKUP

(Group) To Pick up call from within preprogrammed group: Lift handset, dial *6.

(Directed) To pick up call from specific phones within area: Lift handset, dial #6, plus extension number that is ringing. (It is not necessary to be in a preprogrammed pickup group to use this feature).

Notes: If you cannot intercept a call within a call pickup group by dialing *6, the call coming into the station may be a "call back", which cannot be intercepted by another telephone. If you hear a reorder tone (a fast busy) when trying to intercept a call with *6, another phone in the pickup group may have intercepted the call first, or the extension trying to pick up the call may not have been programmed into the pickup group. In the latter case, you could intercept the call with #6 plus the ringing extension number.

MUTING A CALL

To mute a call: Press the MUTE button (the display will show MIC MUTED), and the button will light. Press the MUTE button again to restore two-way conversation.

CALL BACK 

This feature allows you to request a "call back" if you encounter a busy University extension. To set Call Back feature (if line is busy): After dialing extension and hearing busy signal, press Flash, dial *9; hear high pitched confirmation tone; hang up. When BOTH telephones become idle, your telephone will ring. Lift handset (or press Speaker); call will ring until called party answers.

Note: Only one Call Back request can be set to or from any extension at a time. Additional attempts will be indicated by a fast busy signal. Call Back is automatically canceled if the telephone that set the Call Back doesn't answer within approximately three rings.

To cancel Call Back request before ringing: Lift handset; dial #9; hang up.

CALL PARK

This feature allows a call to be placed on hold to be retrieved from any University extension.

To Park a Call: Ask caller to hold; press FLASH, then dial *0. Caller is placed on hold.

To retrieve a parked call from a remote telephone: Lift handset; Dial #0, plus the extension number where the call was parked. You are connected with the caller.

To retrieve a parked call from original telephone: Lift handset; Dial Park code *0. You are connected with the caller.

VOICE CALL

When programmed, allows your voice to be heard through called party's speaker (called party must have a multi-line Dterm telephone and must be programmed to allow this feature). To place a voice call: Lift handset; dial extension. Press Flash, then *3. Hear tone; then begin speaking.
