Publish Assets with or without Password Protection

In both Pick-n-Play and MediaManager, ShareStream media assets can be can published either with or without password protection.

NOTE: By default assets are published with password protection. Students who have not used either Pick-n-Play or MediaManager will not be able to view password protected assets. Please uncheck password protection before publishing assets or contact the ITS Help Desk.

Sharing Assets in Pick-n-Play

The Share Asset option can be used to publish ShareStream media assets outside of ICON. This option is popular for sharing media over emails or posting media to external sites.

It can be shared by links to media files in two ways:

  • Generating a Deeplink, which allows the media asset’s URL to be copied. This URL can be sent to users over email for example.
  • Generating Embed Code, which creates a link that includes a thumbnail of the media asset within a frame.

There is an option to share media assets with or password protection.  

Sharing Media Using a Deeplink

To share a media asset using a Deeplink:

1.      Click Share Asset under the Media Player.

2.      Click on the Deeplink tab (selected by default).

  1. In the popup window, select how to publish the asset:
  • To publish with password protection, keep the option checked for Asset published with password protection.
  • To publish without password protection, uncheck the option Asset published with password protection

  • It will be prompt to confirm the selection.

4.      Copy the Deeplink code from the text box under the Deeplink tab and paste it into a compatible destination.

5.      Click on Hide Share Asset to close the Share Asset box.

Sharing Media Using an Embed Code

To share a media asset using the Embed Code: 

1.      Click Share Asset under the Media Player.

2.      Click on the Embed Code tab.

3.      In the popup window, select how to publish the asset:

  • To publish with password protection, keep the option checked for Asset published with password protection.
  • To publish without password protection, uncheck the option Asset published with password protection

  • It will prompt to confirm the selection.

4.      Copy the Embed Code from the text box under the Embed Code and paste it into a compatible destination. On the resulting web page, the link to the media asset will appear as a thumbnail of the media within a frame.

5.      Click on Hide Share Asset to close the Share Asset box.

Disable a Deeplink

To disable a link to an asset that has been previously published (using either the Deeplink or the Embed Code), click on the X in the Share Asset box:

Publish Assets in MediaManager

In MediaManager, Media Assets in the “My Courses” directory can be published either with or without password protection. 

It can publish media assets in two ways:

  • Generating a Deeplink, which allows the media asset’s URL to be copied.  This URL can be sent to users over email for example.
  • Generating Embed Code, which creates a link that includes a thumbnail of the media asset within a frame.

Publishing Media Using an Embed Code

To publish an asset using the Embed Code:

1.      Right-click on the asset and select Show Embed Code.

2.      In the popup window, select how to publish the asset:

  • To publish with password protection, keep the option checked for Asset published with password protection.
  • To publish without password protection, uncheck the option Asset published with password protection. It will prompt to confirm the selection.

3.      Copy the Embed Code and paste it into a compatible destination.

Publishing Media Using a Deeplink/Tiny URL

To publish a media asset using the Deeplink/Tiny URL:

1.      Right-click on the asset and select Show Deeplink/Tiny URL.

2.      In the popup window, select how to publish the asset:

  • To publish with password protection, keep the option checked for Asset published with password protection.
  • To publish without password protection, uncheck the option Asset published with password protection. It will prompt to confirm the selection.

3.      Copy the Deeplink/Tiny URL and paste it into a compatible destination.

How to See if Password Protection is Enabled

After it has generated a Deeplink/Tiny URL or Embed Code, the “locked” or “unlocked” icon will appear next to the asset title in MediaManager, indicating whether an asset has been published with or without password protection.

Disable a Deeplink/Tiny URL

To make the Deeplink/Tiny URL or Embed Code inactive in the web location that have it published in, right-click on the asset and select Disable Deeplink/Tiny URL.

  • NOTE: After Disabling a new Deeplink/Tiny URL or Embed Code will be generated the next time the media asset is shared.
