You can import your Office 365 calendar, email and contacts into your outlook.com (Hotmail, Live, etc.) account

Importing Email

Below are 3 options that you can use to move email from your Office 365 account to your Outlook.com (i.e., Hotmail/Live) account. NOTE: ITS provides these basic steps as limited support options, if you have issues, please contact your service provider.

1) Use IMAP to move your email to your Outlook.com:

  1. Login to Outlook.com
  2. Click the gear icon
  3. Click options
  4. Choose import email accounts
  5. Choose other email provider
  6. Click advanced options
  7. Type the email address (e.g. jane-doe@uiowa.edu)
  8. Type the username (HawkID)
  9. Type the password (HawkID password) 
  10. Type email.uiowa.edu in the IMAP email server field
  11. Make sure port is 933
  12. Make sure "Requires secure connection (SSL)" is checked
  13. Click import

2) Move email using Microsoft Outlook (e.g., adding an additional account in Outlook)

  1. Open Outlook
  2. Go to "File"
  3. Under the "Info" tab, click "Account Settings"
  4. Click "New" from the taskbar
  5. "Email Account" should be automatically select, click "Next" 
  6. Click "Manual Setup or Additional Mail types" and hit "Next" 
  7. Select "POP or IMAP" and hit "Next" 
  8. For the "Your Name" field enter your name
  9. For the "Email Addresses" field enter your email address (e.g. jane-doe@uiowa.edu
  10. For the "Account Type" field enter "IMAP" 
  11. For the "Incoming Mail Server (IMAP)" put "outlook.office365.com" 
  12. For the "Outgoing Mail Server" put "smtp.office365.com" 
  13. For the "Username" field enter your email address (e.g. jane-doe@outlook.com)
  14. For the "Password" field enter your email password
  15. Check "Require Logon using Secure password Authentication (SPA)" 
  16. Click "More Settings" on the bottom right of the screen. 
  17. Click the "Outgoing Server" tab
  18. Check "My Outgoing Server (SMTP) Requires "Authentication" 
  19. Click the "Advanced" tab
  20. Put the "Incoming Server" (IMAP) 993. For "Use The Following Type of Encrypted Connection" select "SSL." For "Use the Following Type of Encrypted Connection for SMTP" select "TLS." For the "Outgoing Server" (SMTP) put 587. Then hit "OK." 
  21. Once you hit "OK" it will take you back to the previous page, then hit "Next" and then hit "Finish"
  22. Once your Outlook.com account is added you will be able tod rag emails or folders from your Office 365 account to your Outlook.com account. 

3) Move email using POP:

* This method will only move email that is in your "Inbox" if you wish to move emails that are saved in folders you will have to move the emails contained in the folder to your Inbox first for it to be moved via POP. 

  1. Sign in with your Outlook.com (i.e., Hotmail/Live) email address
  2. Click the gear icon (upper right corner of the Inbox next to your name) 
  3. Click More Mail Settings
  4. Under "Managing Your Account", select Your email accounts
  5. Under "Add an email account", select Add a send-and-receive account
  6. Fill in the following fields:
  1. Click Advanced options
  2. Under "Incoming (POP3) server information, fill in the following fields: 
  • Server address - outlook.office365.com, Port 995
  • Select Requires a secure connection (SSL)
  • Select Leave a copy of messages on the server
  • Username - Hawkid
  • Password - Hawkid password
  1. Under the Outgoing (SMTP) server information, fill in the following fields: 
  • Select Send email using your provider's server (recipient will not see your Outlook address)
  • Server address - smtp.office365.com, Port - 587
  • Select Requires a secure connection (SSL/TLS)
  • Select Use the same username and password to send and receive email
  1. Click Next
  2. On the screen, "When mail is received via firstname-lastname@uiowa.edu where do you want it saved?", select a folder called @uiowa.edu - Your Name
  3. Click Save
  4. Click Go to Inbox

    Importing Calendar

    1. In the Outlook client, open your Office 365 calendar
    2. Choose File | Save Calendar
    3. Click "More Options" 
    4. In the "Date Range" field, click and select Whole Calendar
    5. In the "Detail" field, click and select Full Details
    6. Click the Advanced button
    7. Select "include attachments within calendar items" if you wish to include any attatchments
    8. Click "OK
    9. Click Save (note the location of where you are saving the file)
    10. Open your web browser to go to outlook.com
    11. Login to your outlook.com (or Hotmail/Live) account
    12. Click the window icon 
    13. Click Calendar
    14. Choose Add Calendar | From file
    15. Click Browse under the "Choose an .ICS file
    16. Find the location of the file you just exported and press Open
    17. Select the color for the calendar
    18. Click Import

    Importing Contacts

    1. In Outlook, click People
    2. Select File | Open & Export
    3. Click Import/Export
    4. Select "Export to a file" and click Next
    5. Select "Comma Separated Values" and click Next
    6. Select a file to export your contacts to and click Next
    7. Select a name for the file and click Browse...
    8. Choose a name for the file and press OK
    9. Press Next
    10. On the next screen click Finish
    11. Open your web browser and open outlook.com
    12. Log into your outlook.com (Hotmail/Live) account
    13. Click the People icon
    14. Click Manage Import contacts
    15. Click Outlook 2010, 2013, or 2016
    16. Click Browse and find the file you exported
    17. Click Upload
    18. Verify the contact list and click Import
