What is the FERPA Check process?

The FERPA Check process for ICON runs each Tuesday, scans registrar-affiliated courses for instructors, TAs, and observers, and then checks if those users have completed FERPA training. The FERPA Check process will not scan non-registrar courses.

 

How does the FERPA Check process work? 

If instructors, TAs, or observers are found in registrar-affiliated courses who have not taken FERPA, they will have two weeks to complete FERPA training, and will get a reminder email each week. 

If the instructor, TA, or observer has not taken FERPA training during the two week period, they will be removed from the registrar-affiliated courses in ICON, and receive a third email. 

  • Week 1: The user gets an email letting them know they should take FERPA, and that they will be removed from these courses in two weeks if they do not take FERPA. 
  • Week 2: The user gets a second email letting them know they should take FERPA, and that they will be removed from these courses in one week if they do not take FERPA. 
  • Week 3: The user gets a third email letting them know they have been removed from courses in ICON.  

If instructors, TAs, or observers have been removed, they will need to be manually added back to the registrar-affiliated courses in ICON.
