Importing and exporting contacts is useful when you have a list of contacts on one account, and want the same contacts on another account. For instance, if you want your Gmail contacts to be copied over to your Microsoft 365 account you would export your Gmail contacts and import them into Microsoft 365.

Importing Contacts in Outlook on the web:

*It’s important to keep in mind that if you import a contact that is already in your contacts, it will make a duplicate. In addition to this, keep in mind that you cannot import more than 2,000 contacts at once since the .csv file will be too large. To fix this, use a program like Excel to split the file into two .csv files.

  1. Login Outlook on the web
  2. Click the Outlook icon
  3. Click on the “People” tile.
  4. Click on the “Manage” button near the top of the window.
  5. Choose “Import Contacts” from the dropdown window that appears.
  6. Choose the location from which you are importing the contacts.
  1. If the .csv file is from OWA using the Outlook 2010, 2013, or 2016 option will work.
  1. Click the “Browse” button and choose the .csv file which contains your contacts.
  2. Once the .csv file has been chosen, click the “Upload” button near the top of the window.
  3. You should get a message saying the import was successful. Your contacts will now be in your contact list.

 

Exporting Contacts from Outlook on the web:

  1. Login to Outlook on the web
  2. Click the Outlook icon
  3. Click on the “People” tile.
  4. Click on the “Manage” button near the top of the window.
  5. Choose “Export Contacts” from the dropdown window that appears.
  6. Choose where you want to export your contacts from.
  1. To export specific contacts, create a folder with the specific contacts ahead of time. Then select the option “Contacts from this folder” and choose the folder you created.
  1. Finally, click the “Export” button near the top of window.
  2. You’ll notice a file being downloaded with the extension .csv, this will be used when importing your contacts into your other account.

Importing Contacts 

  1. Open Outlook 
  2. Click File | Open & Export | Import/Export.
  3. In the new window that pops up, select “Import from another program or file” and press the “Next” button.
  4. If the file that you are importing has the extension .csv then select the “Comma Separated Values” option then click the “Next” button.
    1. If the file you have has the extension .pst then select the “Outlook Data File (.pst)” option.
  5. Click the “Browse” button and choose the file that contains your contacts.
  6. Choose whether you want to allow, replace, or not import duplicate items and hit the “Next” button.
    1. Replacing duplicates means that if you import a contact already in your contact list, then the contact already in your list will be replaced with the contact that’s being imported.
  7. Choose where you want to save the contacts to. In most cases you’ll just want to choose the item that says contacts under your email.
  8. Click “Next” and then click “Finish”. The new contacts will now be in your contact list.

 

Exporting Contacts 

  1. Open Outlook.
  2. Click File | Open & Export | Import/Export.
  3. In the new window that pops up, select “Export to a file” and press the “Next” button.
  4. Ensure “Comma Separated Values” is selected and press the “Next” button.
  5. Select the location from where you want to export your contacts and click the “Next” button.
  6. Where it says “Save exported file as:”, change the name of the file if needed and then click the “Browse” button and choose where you would like to save the file.
  7. Click “Next” and then “Finish”.
  8. Your contacts will be exported to a .csv file where you chose to save it. This file will be used when importing your contacts into your other account.
    1. If you chose “Outlook Data File (.pst)” then the extension will be .pst

"New" Outlook for Mac does not yet have the ability to import/export items

Importing Contacts 

  1. Open Outlook 
  2. At the top left of the screen, near the Macintosh logo, click “File | Import…
  3. A new window will come up asking you what you want to import. Choose whichever option describes your situation best and click “Continue
    1. If your export file comes from Windows and has the extension .pst, then choose the option “Outlook for Windows archive file (.pst)
    2. If your export file comes from Mac and has the extension .olm, then choose the option “Outlook for Mac archive file (.olm)
  4. Another window will open up allowing you to browse for the export file that contains your contacts. Select your file and click the “Import” button.
  5. Your contacts have now been imported into your contacts folder.

 

Exporting Contacts 

  1. Open Outlook 
  2. Select Tools | Export
  3. A new window will come up asking you what you would like to export. To export your contacts, just select the box next to “Contacts” and click “Continue
  4. A new window will open up asking where you would like to save the export file and what you would like to name it.
    1. Enter a name for the file where it says “Save As:”
    2. Click the dropdown arrow to the right of the name to choose where to save the file.
  5. Click “Save” and the “Finish”. Your contacts have now been exported to a .olm file where you chose to save it. This file will be used when importing the contacts into your other account.
