Microsoft 365 is the primary campus email and calendaring service for Faculty, Staff, and Students. The service can be used through a web interface and email clients such as Microsoft Outlook, as well as mobile devices. Email Security Enhancements to be enabled for all Microsoft 365 users on Thursday, March 7

Outlook for Windows "New" toggle button - Outlook for Windows has a toggle button so you can try out the new version. The new version has some new features but there are some things that behave differently or are missing.

 

Updated Work Hours and Location Option

Outlook and OWA have a new option to customize your available work hours and location for each day of the week. Users with flexible schedules or hybrid work will find this especially useful.  See Outlook Work Hours and Location for more information

Description

An additional set of email security enhancements will be enabled for all University and Healthcare email accounts. These features are a combination of tools designed to protect your account from phishing, spam, and malware attacks. A few examples:

  • First Contact Safety Tip - Safety tip is shown to email recipients the first time they receive a message from a sender or when they don't often get messages from the sender.
  • Safe Links – Proactively protects your account from malicious URLs in an email message or in an Office document.
  • Safe Attachments – Applies machine learning and analysis to detect malicious intent of email attachments and provides zero-day protection to safeguard your email account.

Description

On Tuesday, October 24, 2023, ITS will change how it receives messages from Google email addresses that spoof @uiowa.edu email addresses to better secure our email platforms. Once the changes are in place, messages sent from Gmail accounts spoofing uiowa.edu accounts will be treated as unapproved spoofing and will be delivered to the recipient’s Junk Email.

Affected users will be notified and advised to remove the @uiowa.edu address as a sending address from Gmail using instructions available via Google support documentation.

Description

ITS will enable the Outlook Report Message button to enhance and simplify the process of reporting spam and phishing messages.

Although most malicious email messages are blocked before being delivered to our mailboxes, some messages do make it through. In these situations, it is helpful when recipients report spam and phishing so IT staff can take appropriate measures to protect campus. The new button will be available in Outlook for Windows, Mac, iOS, Android, and the Web. People using other email clients can continue to forward suspicious messages as attachments to ui-phishing@uiowa.edu.

Description

Beginning December 20, 2022, when a new Shared/Departmental email account is created it will be enabled with a server-side policy which will store a copy of all messages Sent As or Sent on Behalf of that account in the Shared/Departmental Sent Items folder. A copy of the message will also continue to be stored in the individual account Sent Items folder.

This change is to better ensure messages are not lost or inaccessible to groups using Shared/Departmental accounts. This is also the default behavior of Healthcare Shared/Departmental accounts and will better align the Healthcare and University use of the service.

Description

Office 365 email modern authentication will be enabled on Wednesday, June 1, 2022, at noon. This change is not expected to be noticeable by most client applications. Testing has shown that clients will experience one of the following scenarios: 

  1. Microsoft Outlook for Windows will continue to use basic authentication until the application is closed. Once reopened, the Outlook client will automatically transition to modern authentication by reusing the cached security credentials. 
  2. Other applications connecting to Office 365 email will continue to use basic authentication. These clients will not be affected by this phase of the project. 

This is the next step in our effort to disable basic authentication in our Office 365 environment by August 2022. More information is available in the modern authentication security improvements support article.

When using Outlook in Safari, users are prompted to download an empty file titled “TokenFactoryIframe” every time they click on an email message. ITS staff are working with Microsoft to resolve this issue.

Description

Basic Authentication access to Office 365 email services will be disabled on February 22, 2022 for the ActiveSync, POP, and IMAP protocols. This is part of the larger effort to better improve security with our email services.

These changes do not impact most UI email users. Those affected by this change have received communication over the last three months along with resources to convert to Modern Authentication. Support resources are available on the Office 365: Email and Calendaring page.

The Zoom add-in will be installed automatically in Outlook for all eligible faculty, staff, and student employees. This will also include Healthcare users who have been migrated to Office 365 email services.

Some users are experiencing Outlook connection issues and crashes with the Outlook desktop client. Microsoft is aware of the issue and is working on a solution.

Microsoft has a fix for the issue and will deploy it as soon as possible.  Users may still experience issues until the fix is deployed.

The cause of the issue was a recent update to the Exchange Online service.  Affected users may use OWA (https://office365.uiowa.edu) until the fix is deployed.

Description

To increase security measures and reduce phishing on campus, Two-Step Login with Duo Security will be enabled for Office 365 web services for users currently enrolled in Two-Step on June 25.

Expected user experience:

  • https://office365.uiowa.edu will prompt for Duo two-step login during each visit. It is possible to select “Remember me for 30 days.”
  • Most connected clients (OneDrive for Business, Outlook, Mobile Email, Skype for Business, etc.) will not prompt for Duo two-step login. These clients already have cached credentials that should remain valid. Some of these clients will prompt for Duo in the future during an event such as a HawkID password change.
  • Some client software tools (Outlook for Windows, Thunderbird, Android Mail, Skype for Business) are not currently compatible with Duo two-step login. We’ve configured the system to allow these clients to function without Duo.

In an effort to prevent phishing and help UI students, faculty, and staff identify potentially fraudulent email, external email tagging will be enabled on Tuesday, March 5, 2019. All email received from outside of the University of Iowa (these can be both suspicious and harmless) will be tagged with [External] in the subject line. UIHC's implementation of external tags as well as our internal pilot has been successful. RESOLUTION:  Microsoft has released a fix and an update is available for departments to deploy.

Scanned Attachments Get Stripped When Forwarding Email

ISSUE: In Outlook 2016 for Windows, a document is scanned and emailed as an attachment.   If you try to forward the message with the attachment to another user using Outlook 2016, the attachment is stripped off the email message.  This is due to a recent Microsoft update.

WORKAROUND: Using Outlook 2016, choose Actions | Resend this message to send the attachment or use OWA (https://office365.uiowa.edu).  Microsoft is aware of the issue and is working on a fix.

Original Notice:  Users running MacMail on operating systems 10.10 and 10.11 have reported an issue where the Inbox does not update.

Description

Office 365 is experiencing intermittent issues for a small, select group of users trying to connect to the email server.  Users may receive an error about not connecting in Outlook, OWA or on their mobile device.   Microsoft is aware of the issue and is working on restoring service to the affected servers.  Microsoft is monitoring the service as it stabilizes. Most users are not experiencing any noticeable impact at this time.
