The Provost Office and HR have set guidelines for mass mails to and from faculty and staff

To facilitate processing of requests to use the Mass Mail service, the provost and the senior vice president for finance and operations have set the following guidelines for the sending of messages to and from faculty and staff. The message must:

  • Be of major importance to faculty/staff.
  • Be of wide interest across the campus (e.g., no department or college lectures).
  • Be no more than 20 lines (70-character length), including blank lines.
  • Include a phone number and/or email address to contact the sender.
  • Not be a "commercial" for a service.
  • Not be an announcement or advertisement for a speaker or lecture.
  • Include the UI Accessibility Statement if people are being invited to an event.

If appropriate, it is recommended that the message include a URL referring recipients to a website where more information can be obtained.

As of March 1, 2024, the Office of the Senior Vice President for Finance and Operations will follow the same guidelines as previously adopted by the Office of the Provost. 

Beginning in the fall 2024 semester, student organizations are no longer eligible to request a mass mailing to faculty and staff.
