We are in the process of converting the current campus telephone system (NEC-PBX) to Microsoft Skype for Business (SfB).    SfB is a computer-based voice service that operates primarily via software on your computer (softphone) and includes unified messaging (voicemail in your email inbox), instant messaging, voice or video calling/conferencing, online meetings and desktop sharing.

 

The telephone sets that people are using now will not work for SfB, so replacements must be made.  Input from peer institutions who have made this switch, and advice from SfB consultants, indicate a basic headset meets the needs of 80-90% or more of end users.

 

Why are Headsets Better than Handsets for Most Uses?

  • Allows hands-free interaction with the computer and softphone for phone calls, online meetings and video calls.
  • Mobility – telephone moves with you via laptop or smartphone.
  • Headsets can be used with other conferencing tools (Zoom, GoToMeeting, Google) as well as general audio applications (Webinars, Lynda.com, music).
  • Improved audio experience. Headsets provide greater audio output range and volume control. Directional microphones provide improved audio capture.

 

Goal for Replacement Plan

  • The goal is to get each person the device they need to do their work and have the costs be distributed fairly.
  • To achieve this goal, the cost of required SfB devices is covered by this project and funded centrally.   Any additional costs driven by individual preference will be borne by work units.
  • We will work with Business Officers, local IT staff and end users to get people the devices they need.

 

Cost Implications

  • Each workgroup project will be provided with a standard “credit” for each current handset that is in place.  This credit can be used for new headsets or handset purchases. This can be done by workgroup, department, college, org, or any unit, and can be used within that unit for any combination of devices they choose.
  • The credit is $150 for each Dterm telephone and $30 for each standard telephone now in service and will be issued on a per order basis.

 

Recommended Devices

  • The University of Iowa maintains an inventory of recommended audio devices, which will be provided to the customer based on their specific needs and requirements in consultation with their local IT staff and departmental administration. Click Here for the list of devices.
  • The costs of these devices will be offset by the credits mentioned above.   Departments are responsible for the costs of any devices that exceed the total amount of the credits.

What is the Skype for Business Device Loan Program?

A system has been developed by the Unified Communications team for loaning specified Skype for Business devices out to individuals or departments to try for a 2 week period. The goal of the program is to familiarize users with optimized Skype for Business devices best suited for their needs before committing to a purchase order.

What devices are available for loan?
The devices we are using for this loan program currently include:

How do I request a device to borrow?

  • To request a device to borrow as an individual or department, please follow the link to fill out and submit this Qualtrics survey.
  • After the survey request has been submitted, a member of the Unified Communications team will contact the user to schedule the loan of an available device.
