This page provides an overview of how to use Microsoft 365 Copilot in PowerPoint. Please note that Copilot is continuously evolving, and some features or interfaces described here may look different over time.

As the human in the loop, you are responsible for reviewing and verifying Copilot’s responses before using them to ensure accuracy, authenticity, and appropriateness.

Note: While most features described below are available on both the web and desktop versions of PowerPoint, functionality may vary slightly depending on the platform. The information on this page is based on the web version of PowerPoint.

Getting Started

Accessing Copilot in PowerPoint

Copilot Access Points

You can access Copilot in two places within PowerPoint:

Top left floating copilot button
  • Top Left (Floating Button) – The Copilot icon may appear near your active slide area. Click this to access quick actions such as:
    • Replace with new presentation
    • Replace with presentation from file
    • Add a slide
    • Summarize this presentation
    • Ask Copilot

  • Top Right (Ribbon Menu) – Located in the ribbon. Use this to open the Copilot sidebar.

    To get started: 

    1. Click the Copilot icon in the ribbon menu (top right).
    2. Begin typing your question or explore sidebar suggestions based on your presentation content.

Suggested Prompts

Copilot will suggest helpful actions when the sidebar is opened, such as:

  • Create a presentation from [file]
  • Create a presentation about [topic]
  • Add a slide about (e.g., [the impact of traveling])
  • Tell me best practices for (e.g., [creating a persuasive presentation])

These suggestions offer an easy starting point for enhancing your slide content.

Add icon on copilot sidebar

Type your request directly into the prompt bar or click the “+” icon to access more options:

  • Attach – Connect relevant files, emails, or data for context.
  • View Prompts – Access commonly used prompts tailored to presentation tasks.
  • Add an Image – Upload visuals to support content creation or receive suggestions.
  • Ask an Agent – Interact with a specialized Copilot Agent to guide you through a specific presentation scenario.

Control how Copilot generates content:

  • Web Content (toggle)Enable or disable Copilot’s ability to reference web-based data in addition to Microsoft 365 content.
    When turned off, Copilot will only use data from your University of Iowa Microsoft 365 account.

Speaking with Copilot

Click the microphone icon in the prompt window to ask Copilot your question out loud. Copilot will return a written response you can use in your slides.
Note: Voice interaction is being rolled out gradually and may not be available to all users or platforms at this time.

Generating and Replacing Presentations

Upon Selecting Replace With a New Presentation Using Copilot

Create or Replace Presentations

Copilot can generate a new presentation or replace an existing one.

  • Choose “Replace with new presentation” or “Replace with presentation from file” to start over with AI-generated slides.
  • You'll be prompted to describe the topic, reference a file, and select a template or design.

Copilot uses your current presentation theme unless a new one is chosen.

After Generating Slides

Once Copilot generates a presentation or slide content, you'll see a review panel with the following options:

  • Keep it – Insert the generated slides or content into your presentation.
  • Discard – Remove the generated content.
  • Provide Feedback – Use thumbs up/down icons to let Copilot know if the content was helpful.
  • Refine Content – Use the prompt field to describe changes or ask for adjustments.
