A Microsoft Teams Room is a conference room with built-in Teams, Zoom, Webex, and Skype technology that lets you join meetings, share content, and collaborate with a single touch. It allows users to join a meeting/conference without the need of a local account on a dedicated computer. This provides users a quicker way to join a meeting with dedicated video conferencing technology, rather than having failure points on a managed or personal device. This system streamlines and simplifies the user experience by providing consistent quality every time a meeting is started.

How do I schedule an event in a Teams Room?
  1. Open Outlook and go to your calendar.
  2. Select New event.
  3. Under Online, make sure that Teams is selected.
  4. Under "Add a room or location," enter the resource name for the room.  The normal template is "RES-EXB-101-TR" where "EXB" is the building acronym and "101" is the room number.
  5. Complete the meeting invitation as you would for any other meeting before sending.

Note: to prevent the meeting name from being displayed in the room, mark the meeting as "Private" in Outlook.

How do I join a Teams Room meeting?

Calendar events automatically appear on the touchscreen console in the Teams Room.  Tap Join to enter the call.  In the call, you'll appear as the calendar resource name.

You can also join by scanning the QR code in the top left corner.

How do I join a meeting that's not on the touchscreen console?
  • Join the meeting on your personal device.
  • When you're choosing audio and video settings, you'll have the option to add a room and use that room's audio and video equipment.
  • Your personal device might detect a nearby room using Bluetooth. If it does, you'll see (suggested) next to Room audio. If the nearby room has already joined, select Don't use audio to join with your audio off and avoid disrupting the meeting. This option will still enable proximity detection.
  • If your device doesn't detect the room nearby, select Room audio and search for a room.

How do I project content to the display?

Plug in your laptop using the provided USB-C cable and content will automatically project to the display.

To connect wirelessly, open the Teams app and select Settings and more next to the profile picture. Select Cast to search for the Teams Room.  Select Next- if there's a meeting there will be the choice to Just cast or to Cast and join the meeting.  Choose the content that you want to cast and select Cast. To end casting, select End meeting on your computer.

Can I join a Zoom or Webex meeting in a Teams Room?

Yes! Press Join with an ID, and enter the meeting ID and passcode if necessary, then select Join.
