Campus Signage is one website with content from across different groups. This article explains how images and slide content can be shared and used across groups, including key considerations for scheduling, permissions, and collaboration.

Because the slide scheduling functionality is not sign specific, we generally recommending sharing media images and not slides but there might be use-cases where sharing slides makes more sense.

Images

Any user with appropriate permissions can upload media images for use in slides. Uploaded media images are globally searchable and reusable across groups. Other users can reference these media images in their own slides. Only the original author of a media image can edit or delete it.

Media URLs contain the content ID (e.g. /media/image/123) which can be used to identify and filter on existing media when adding images to a slide.

Important Tips:

  • Before using someone else's media image, consider whether it’s actively used.  If a media item is deleted, references in other slides will silently break. Users won’t be notified until they attempt to edit the affected slide.
  • Use the Entity Usage tab to check where a media item is used. Consider usage before deleting or modifying the image. Communicate with other groups as necessary to coordinate the usage of your media image(s).

Slides

Slides can be assigned to more than one sign or signs within another group, but it is only the groups assigned to the slide that can edit it. Sharing slides can be more useful for a single group with multiple signs or a set of groups tied to the same parent unit where the same content and scheduling rules for the slide apply.

  • Slide scheduling is used globally across the website to publish and unpublished the content at a specific time. This is not sign specific. For this reason we generally recommend using media images instead of someone else's slide.
  • Use the Entity Usage tab to check where a slide is used. Consider usage before deleting or modifying the slide. Communicate with other groups as necessary to coordinate the usage of your slide(s).

Community sharing

Users can collaborate and share information about available content using the Digital Signage Content channel on Microsoft Teams. They can also communicate directly with certain units/groups by referencing Who do I contact about posting something on Campus Signage? or visiting the Groups page of the website. Users can share content IDs, scheduling details, and usage patterns to help others find and adopt relevant content.
