If a UI user would like to have a survey transferred to a Qualtrics user outside of our organization, there are a couple of methods for doing so depending on your specific situation.
If the survey is currently collecting responses and/or they need the survey URL to remain the same:
IMPORTANT: Do not continue with any of the additional options listed below. Instead, you will need to contact the ITS Help Desk and ask if they can submit a survey transfer request with Qualtrics on your behalf. Please include the following information in your request:
- Your UI Hawk ID (e.g., jdoe)
- The name of your survey to transfer as it appears in your Qualtrics account
- The Qualtrics username and email address of the user at the outside institution (so we know where to transfer the survey to)
Please note: Qualtrics Support has a timeframe of approximately 2-3 weeks for this process.
If the survey is NOT collecting responses and you do NOT need the existing survey URL to remain the same:
You can complete either of the following options to manually transfer the survey and survey data to the other user.
Option 1: Collaborate and Copy :
- The UI survey owner will use the Collaborate feature in Qualtrics to share the survey with the non-UI user .
- Have the non-UI user make a copy of the survey once the survey has been shared with them.
- Have the non-UI user export the data from the shared survey and then import the data into the newly copied survey.
- The UI user can then delete the original survey from their account if it is no longer needed after confirming with the non-UI user that they have created the copy and imported the data.
Option 2: Export and Import survey & data
- Export the survey as a QSF file from the UI user's Qualtrics account.
- Export the survey data from the UI user's Qualtrics account.
- Send the survey and data files to the non-UI user (upload to OneDrive, email the files, etc.).
- Have the non-UI user import the QSF file.
- Have the non-UI user import the survey data into the survey.
