This page is intended to highlight general eligibility for IT services for University of Iowa students who are graduating or leaving the university. Learn what happens to your email and other accounts after you leave the university, and the steps you should take before you go.

Eligibility for your HawkID and MyUI Access is available for your lifetime. You can use it update your postal mailing address, phone number, and routing address.

Your HawkID may become disabled if 1-2 years go by without any logins.  If this happens, contact the ITS Help Desk to have it enabled again.

Eligibility for your UI email account will end two years after graduation, or two years after the date of your last course with the university.

Several notifications will be sent before the account closes to provide time to create a new account elsewhere and move any messages or files you want to keep.

Before your account closes, you should also update all of your email subscriptions and/or password reset contact information to your personal account.  See My Office 365 Email Account is Closing - What Should I Do Checklist

Student Employee Office 365 Accounts

If you are employed by the university, your email account will continue until your employment ends. If your employment ends within the two-year window after your graduation, your alumni status will take precedent and your email account will remain open until the original two-year mark.

Student Organization Office 365 Accounts

Before you leave the university, you should update the owner of any student organization Office 365 email accounts you own.  You should also make sure to have your HawkID removed from access to the account, even if you aren't the owner. 

Eligibility for your UI email account will end two years after graduation, or two years after the date of your last course with the university.

Office 365 OneDrive

As a student, you maintain access to your OneDrive data for 2 years past the date of graduation or your last date of active enrollment. Please save your documents prior to the end of this 2-year window. Review this OneDrive checklist for guidance on what to do with your files.

Home Drive (H:)

As a student, access to your Home Drive (H:) ends immediately once you are no longer actively enrolled at the university. Please save any documents prior to departing the university.

Note: To connect to your Home Drive from off-campus, a connection to the VPN through Cisco AnyConnect is required.

Access to RDSS and LSS ends immediately once you are no longer actively enrolled at the university.

UI Wireless/eduroam Network Access

You will be able to access the UI Wireless network on campus until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall. If you are no longer a student but employed by the university, you will remain eligible to access UI Wireless. See more information about UI Wireless eduroam. 

Hawk Alert

You will lose access to the Hawk Alert system when you graduate. If you are no longer a student but employed by the university, you will retain your access to the Hawk Alert system. See more information about Hawk Alert.

ICON

You will be able to access ICON until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall. However, individual courses may be made "inactive" by instructors at any time. If you are no longer a student but employed by the university, you will retain your access to ICON. Log in to ICON now. 

ITC Printing

You will lose access to the ITC Printing system when you graduate. If you are no longer a student but employed by the university, you will retain your access to the ITS Printing system. See more information about ITC Printing.

MyUI 

As a former student, you will retain access to MyUI. This allows you to download tax documents, order transcripts, and pay your U-Bill in addition to any other tasks you may need to do after graduation. Log in to MyUI now. 

Computer Labs/Instructional Technology Centers (ITC) Access

Your ITC computer lab access will remain active until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall.  If you are no longer a student but employed by the university, you will remain eligible to use the ITCs. Discounts on Computers

You can continue to purchase computers at a discount online until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall. Find education pricing Macs or iPads. Find education pricing on Dell computers. If you are no longer a student but employed by the university, you will remain eligible to purchase computers at a discount.

The UI Bookstore also offers discounts on computers that can be purchased on site.

Home Drive/Files@Iowa

Your Home Drive or Files@Iowa file space (H drive) will remain accessible for approximately two years after leaving the university. You will want to be sure and save any important documents or files prior to losing access. Read more about Home Drives

LinkedIn Learning Online Training

You will continue to have access to LinkedIn Learning (previously Lynda.com) with your HawkID and password until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall. If you are no longer a student but employed by the university, you will remain eligible to use LinkedIn Learning.

MyWeb

If you are currently using MyWeb, your account will remain active for one (1) year after your graduation date. Read more about MyWeb accounts

Qualtrics

You will lose access to the Qualtrics web-based survey tool when you graduate or leave. If you own any surveys, you will want to transfer ownership to another person at the university if they will continue to be used. If you are no longer a student but employed by the university, you will retain your access to the Qualtrics web-based survey tool. See more information about Qualtrics.

Virtual Private Network (VPN)

You will be able to access the UI VPN service (Cisco AnyConnect) until the beginning of the fall semester if you graduate in the spring or summer, and until the beginning of the spring semester if you graduate in the fall. If you are no longer a student but employed by the university, you will remain eligible to access the UI VPN service. Find more information about Virtual Private Network (VPN).

Software Repair and Troubleshooting Service

The ITS Help Desk provides software support on personal computers or devices as part of their walk-in service. Access to this service ends after graduation or when students are no longer enrolled for classes or employed by the university. Online Library Database Access

Students and faculty/staff lose access to online library materials immediately after leaving the University of Iowa due to licensing restrictions. Find out more about library services for alumni.

Skype for Business

Student employees who have a phone number will lose access immediately when their status changes to no longer being a student employee.

Skype for Business access will close immediately when your appointment with the university ends.
